Terms and Conditions

General Terms & Conditions 

The following are the Terms and Conditions for the short term holiday bookings of Afallon, Holyhead Road, Llanerchymedd LL71 7AA, also referred to as ‘The Property’. 

This is a legally binding contract between the owners of Afallon and the Lead Guest who acts on behalf of the whole holiday party. The property owner is also referred to as ‘we’ and ‘us’. 

The Lead Guest who must be a minimum of 21 years of age,  is the individual who signs the booking form or, in the case of an online booking, the individual who makes the online reservation/payment. This individual, in making the booking accepts sole responsibility for ensuring all members of the holiday party are informed of these Terms and Conditions of booking and is responsible for full adherence to these terms and conditions by the attending party. The Lead Guest is also referred to as ‘you’. 

Bookings 

All bookings will be deemed provisional until such time that either a deposit or the full fee has been paid in accordance with the payment schedule below, The property owners reserve the right to cancel provisional bookings without forfeit in the event of a firm booking request and payment being made.  We will always endeavor to contact the Lead Guest by email and/or phone prior to any cancellation, but we cannot accept any liability for cancellation until a deposit or full payment has been received.  

Payment Schedule 

The payment schedule is as follows: 

  • For bookings made in advance of 6 weeks prior to the start of the holiday rental, a deposit of 25% of the holiday rental fee is payable within three calendar days of the booking being made. The booking is deemed provisional until the funds have cleared the property owners bank account following which a confirmation of formal booking will be issued to the Lead Guest. 
  •  The balance of the rental fee is to be paid no later than 6 weeks prior to the start of the holiday rental (actual date to be advised by the Property Owner within the booking confirmation). 
  •  For bookings made within 6 or less weeks prior to the start of the holiday rental, the full rental fee is to be paid. 
  •  A £250 deposit against breakages or damage is required to be paid with the balance of the holiday rental.  This deposit is fully refundable within 1 week of the end of the holiday rental assuming no damage.  Any claim for damage by the property owner will be notified to the Lead Guest and accompanied, as far as possible by appropriate evidence, eg. Photos or video. 

 NOTE:  It is accepted that accidents happen and there is also fair wear and tear to be considered for which there will be no charge.  The deposit is to cover the unlikely event of significant and, in the view of the Property Owner, avoidable damage.

  

Failure to pay the deposit or balance in full by the due dates will constitute a cancellation of the holiday by the guest.

Cancellation Policy 

Guest Cancellation: 

Cancellation of the booking by the Lead Guest must be made verbally by calling the property owners and followed up in writing by email to admin@afallon.co.uk . Cancellations will be subject to fees as follows: 

  • Cancellations greater than 8 weeks prior to the start of the holiday rental will receive a full refund
  • Cancellations made between 8 and 6 weeks prior to the start of the holiday rental will receive a full refund of balance paid minus the deposit.
  • Cancellations between 6 weeks and 2 weeks to the start of the holiday rental will receive a 50% refund of the booking fee. 
  • No refunds will be made for cancellations with less than 2 weeks prior to the start of the holiday rental. 
  • If the £250 deposit for breakages has been paid, regardless of the cancellation notice, this will be subject to a full refund.  

NOTE:  In the event that a cancelled holiday is resold, a full refund minus a £25 admin fee will be provided.  In the event that part of the holiday period is sold, the refund will be made pro rata minus a £25 admin fee. 

We strongly recommend that the Lead Guest/holiday party take out appropriate holiday insurance to cover any losses. 

Cancellation by the Property Owner 

The property owner will make all reasonable endeavours and precautions to ensure the property is available for the contracted holiday rental period. In the unlikely event the property becomes unavailable and the property owner has to cancel the booking, a full refund will be issued. The property owner shall only be liable to refund the monies received. No compensation or consequential losses shall be paid. 

Property Access, Arrival and Departure Time 

Keys to the property are held in a combination key safe.  The location and code will be provided 1 week before the due arrival date following receipt of the Breakages/Damages deposit.   

Arrival time is from 4:00 pm.  

Departure time no later than  10:00 am. 

NOTE:

1) Late departure will result in an additional charge being made. 

2) It is the Lead Guests responsibility to ensure the property is secured throughput, all windows and doors locked prior to departure and the keys returned to the key safe. 

3) Failure to leave the keys in the safe will result in an additional charge being made for their recovery.

4) Lost keys will be charged a £25 administration cost plus the cost of replacement for the key/s

Force Majeure 

The property owner cannot accept responsibility or liability for any alterations, delay or cancellation or any other loss or damage caused by an Act of God, War, Civil Strife, Terrorist action, Industrial Disputes, Fire, Sickness, Bad Weather, Epidemics/Pandemics, acts of any Government or Public Authority, Infrastructure failures & outages (transportation, energy, broadband), or any other event outside our control. 

Miscellaneous 

Whilst every care is taken to maintain the description within the website as a true and accurate reflection of the property, there may be some minor discrepancies due to necessary maintenance (replacement of items eg crockery, furniture, white goods etc.).  No refunds or discounts will be offered for such discrepancies. 

In the unlikely event of a significant issue arising with the property and its contents which requires remedial action, the property owner and/or their representative reserves the right to access the property, with prior notice and at a reasonable time, to undertake such repairs.

NOTE: The Property Owners reserve the right to amend these Ts and Cs without notice.  If amendments are made post booking, a summary of the changes will be provided to the Lead Guest. In the unlikely event that the Lead Guest and their party are unhappy with the changes,  if notified before the holiday period commences, the Lead Guest will be entitled to a full refund of monies paid, but without any recourse for additional payments.  If during the holiday period and the whole party decide to terminate/vacate the property, a pro rata refund for any unused full days  will be made.

Number of Guests 

The maximum number of people who can reside at this property is six (6) (not including babies or infant young enough to use a travel cot option). 

There is a legal requirement for Holliday Let Property owners to hold a register of guests staying their properties.  As such, it is a condition of booking that all members of the holiday party over the age of 16 are identified by name.  In the event of a change of members to the holiday party, the names of the individuals are to be advised to the property owners. There is no charge or penalty for such amendments 

The maximum occupancy of the property shall not be exceeded at any time due to safety and insurance requirements. Any exceedance of occupancy shall be considered a breach of contract resulting in immediate termination of the holiday requiring all guests to vacate immediately and without refund.  

Sub-letting or assignation of the property is strictly prohibited. 

Guests Behaviour 

It is the Lead Guests responsibility to ensure the holiday party behave in a responsible and appropriate manner whilst occupying the property and grounds.  It is fully acknowledged by the property owners that the booking purpose is for a holiday/vacation.  However, consideration to neighbours must be made as the property is in a residential area.  In the event of any formal complaints, specifically if law enforcement is involved, the property owners reserve the right to terminate the booking with immediate effect and have the holiday party vacate the property. 

No music is to be played outdoors after 10 pm at night and we request that appropriate 'quiet' behavior is adopted after this time with respect to the neighbours 

Smoking/Vaping Policy 

Neither smoking nor vaping are permitted anywhere within the building, including the Utility room. 

If smoking outside, but within the boundary of the property, guests are required to utilise ash trays (provided) and/or the sand buckets (provided).  Cigarette butts are not to be disposed of on the ground, flowerbeds/planters or over the wall in the neighboring field.

Candles Policy 

The use of candles is not permitted anywhere within the building, however, the use of candles for the purposes of insect repellent whilst outdoors on the patio/garden areas is permitted.  It is the lead guest responsibility to ensure that everyone in the holiday party ensures their safe use, lighting, extinguishing, storage and disposal (as appropriate).  

Pet Policy 

We allow a maximum of two (2) well behaved and house trained dogs at the property with an additional charge of £20 per pet to cover additional cleaning. 

The following House Rules apply: 

  • Dogs must not be left unaccompanied in the property at any time.  
  • Dogs are not be allowed on the beds at any time 
  • Dogs are not allowed into the first floor bedroom 
  • Dogs are to remain within the boundary of the property at all times and be refrained from entering any of the neighbour’s properties. 
  • Under no circumstances are dogs allowed to enter the field at the rear of the property,   
  • It is the sole responsibility of the Lead Guest/Holiday party to clear any dog faeces from the property and dispose of it appropriately. 
  • The Lead Guest/Holiday Party shall be liable for any damage caused by their dogs 

NOTE: It is the sole responsibility of the Lead Guest/Holiday Party to ensure the safety and well being of their dogs whilst at the property. The property owner cannot be held responsible for any accident or injury to a pet during their stay. 

Car Parking 

Afallon benefits from ample off-road parking on the left hand side for three/four cars. All guests are requested to refrain from parking on the roadside.

We request that all guests exercise caution when maneuvering cars on the property and  refrain from running over the paved and lawn areas. 

EV Charging 
An untethered Project EV 7.3kWh smart charger has been installed for guests use. The unit is remotely switched by the owners and can be accessed by selecting the EV charger as an optional extra when booking.  It is the Guests sole responsivity to ensure compatibility of the above charger with their vehicle.  The Owners of Afallon accept no responsibility for any issues arsing with the guests vehicle in using this charger.

EV Costs 

The cost of re-selling electricity is governed by Ofgem (ref to Guide for Reselling) and it is against the law for holiday lets to charge their customers more than the rate charged by their provider.  The rate per unit is currently set at 27.97p per kWh.  This rate will be amended in line with the suppliers costs.  Any changes to the rate made after a booking has been taken will be notified to the Lead Guest.

EV Operation and Payments  

To utilise this service, the guest needs to have a debit or credit card to which payment can be charged and the use of a smart phone, either Apple or Andriod.

We have partnered with Square Up Charging to allow guests to pay per charging session via a credit or debit card.

Guests are required to provide their own cable for connecting their vehicle to the EV Charger

NOTE: Charging an electric vehicle at the property by any means other than the dedicated EV charger is strictly prohibited and would constitute a breach of contract resulting in the immediate termination of the booking and all guests to vacate the property.  

Cleaning 

It is the responsibility of the Lead Guest to ensure that the property is left in a clean and tidy condition (as found on arrival) prior to departure. The property owner retains the right to make an additional charge for cleaning from the Breakages/Damage deposit.  Appropriate evidence (photos/video) where practicable, will be provided in this event. 

Breakages/Damage 

All guests should make every effort to keep the property, fixtures and fittings and all contents in the same state of repair and condition as at the start of the holiday. Any accidental damage or breakages should be reported to the property owner (or their representative) prior to departure. 

NOTE: Minor breakages and reasonable wear and tear will not be charged for or claimed against the Lead Guest or holiday party. 

Liability 

The property owner takes no responsibility for the personal possessions of the guest or the holiday party. Vehicles and possessions are left entirely at the risk of the guest/s. 

Children and pets must be supervised at all times.

Guest Complaints 

In the event of an issue arising or a discrepancy with the property, we request that the Lead Guest contact the Property Owner as soon as possible in order to address/rectify the issue in a timely manner. All contact details are provided in the holiday welcome pack. 

The property owners cannot accept any responsibility or liability for issues if raised post departure.
